Enquiries and client accounts

We store the contact and gym details you submit to respond to your enquiry. Contact info@crossfitbc.com to request access or deletion.

Forms collect the contact details, gym information, goals and business figures you choose to provide. Member Math also stores inputs, calculated scenarios and the recommended package. Client accounts store sign-in information and gym profiles, and show enquiries matching your verified email. Authorised team members use this information to respond, deliver services and manage follow-up. Lovable Cloud hosts these records. Owner notifications may include submitted details.

Bookings and payments

Calendly processes appointment details and sends booking information used to match enquiries and manage confirmations, reminders, cancellations and rescheduling. Stripe processes payments, billing details and transaction records. Card details are entered in Stripe's form, not our enquiry forms. We record the accepted terms version and a server timestamp with the checkout session. A payment receipt is separate from a confirmed appointment or event place.

Newsletter choices

Newsletter consent is optional and separate from booking. If you opt in through Member Math or Sprint, we send Beehiiv your email, gym name, member count, lead source and, where relevant, recommended package. We retain the consent choice and timestamp. You can unsubscribe using the link in newsletter emails. Unsubscribing from marketing does not stop necessary booking or service messages.

AI-generated suggestions

Next Steps saves your submitted gym figures, location and problem description and sends them through Lovable's AI gateway to an OpenAI model to generate suggestions. Do not submit identifiable member, employee, health, card or other sensitive information. AI output may be inaccurate and requires independent review. We request that the model not store the response, but this is not a promise of zero retention by every service provider. Confidential coaching content is not authorised for recording or AI transcription merely by accepting booking terms.

Service providers and international processing

We use Lovable Cloud, Calendly, Stripe, Beehiiv, email delivery services, OpenAI through Lovable, Google and Meta for the purposes described here. They may process information outside Canada, where local laws and lawful government access may differ. We do not sell submitted client information. Providers receive information needed for their service or as required by law. Their own privacy notices also apply to information they collect directly.

Retention, safeguards and your requests

We keep information while reasonably needed to respond, deliver services, maintain consent and transaction records, meet legal duties or resolve disputes. Retention depends on the record and legal requirements, rather than a single fixed period. Backups and providers may retain records after removal from active use. Contact us to request access, correction, deletion or withdrawal of optional consent; we may verify your identity and explain any legal or operational reason a record must be retained. Deletion is not automatic or guaranteed where retention is required.

Private client and team access is restricted. No online service can guarantee absolute security. Share only information you are authorised to disclose, and use anonymised business figures where possible.

Website measurement and browser storage

Google Analytics measures page views, lead and booking steps and checkout activity. Events may include page paths, form source, gym type, booking type and whether an enquiry happened during the visit. We do not intentionally include names, email addresses or submitted problem text in analytics events. Google may process device, browser, IP and cookie information. The Meta opt-out below does not disable Google Analytics.

Browser storage retains calculator access and a local follow-up snapshot, booking confirmation references, campaign attribution and advertising preferences. You can clear these through your browser, which may remove saved results or confirmation access. Essential account and payment technologies support requested services. Acknowledging this notice is not blanket consent to optional marketing or recording.

Advertising measurement

On our production site, Meta Pixel shares page views, page URLs, browser and device information, IP address and cookie identifiers with Meta Platforms for advertising measurement and ad optimisation. We do not add your enquiry details or customer matching identifiers to these events.

The pixel is blocked in the EU/EEA, UK and Switzerland, and whenever your region cannot be resolved. We do not request advertising consent in those regions, so the pixel stays off. Elsewhere it honours Global Privacy Control, Do Not Track and the advertising opt-out below.

You can stop future Meta tracking on this browser using this button. This does not change Google Analytics. Contact us for privacy requests or consult Meta's privacy policy.
